The Ultimate Guide on How to Choose Your Perfect Wedding Venue in Singapore

Your perfect dream wedding needs a perfect venue, but finding one isn’t easy in Singapore as we are easily spoilt for choice. Follow this guide on how to choose your perfect wedding venue in Singapore and note down the critical things that you need to take into consideration when finding your dream venue.

In Singapore, there are so many venue options to choose from, whether you’re looking for an elegant ballroom, a rooftop bar with a stunning view, or a cosy restaurant. So which one suits you the best? Here’s how to narrow down which type of venue will best suit your needs.

#1. Start with Your Wedding Theme

Xeplanner Inspiration Search Page

Picking out a wedding theme can be one of the hardest planning pieces that every couple faced with.

One of the best ways to start with is to create a mood board to start collecting inspirations for your wedding. This way will help you visualise the theme of your dreams and make decisions easily on how to choose a wedding venue.

In addition to Pinterest and Instagram, you can also search wedding inspirations on Xeplanner and save your favorite ones into your Xeplanner Mood Board tool. Once you’ve set the tone of your big day, you can officially move forward with the rest of your wedding plans.

#2. Plan Your Budget As Early As You Can

On average, you can expect your venue, food, drinks, etc. cost to account for around 70% of your total budget. It’s extremely important to know what’s included in the venue package and make sure there are no surprise charges.

Normally, the venue will provide a few fixed wedding themes for you to choose from and all the wedding decorations will be done by the venue. However, it’s also important to share your vision and budget with the venue and let them know what you hope to be included in the package, so they can customise a package for you which best fits your expectations.

Budget planning isn’t easy, use Xeplanner Budget Planner tool to help you get started. Simply type in your total budget, and it will help you allocate your budget into each wedding item. So you can easily plan, track and monitor your wedding spending anywhere anytime.

#3. Draft a Guest-list

Space is a vital consideration when choosing a wedding venue. Your rough draft of the guest-list gives you an idea of whether you want a large capacity wedding venue or you’d prefer a smaller and more intimate one.

The correct size of the place is incredibly important as it impacts the budget, overall feel of the wedding and the enjoyment of your guests.

#4. Check Pricing & Availability Before Your Site Visit

Visit the venues before you choose an exact date. Keep a range of dates in mind and have some room for flexibility.

Check the rates for weekdays and weekends, number of hours included in the rental of space, additional charges for extra hours, set-up time, initial deposit, payment schedule & cancellation policy. How much are the “++” cost, i.e. tax and gratuity costs, which are over and above the total cost?

Here are 37 questions you should be asking your wedding venues before and during your site visit.

Filling in numerous venue online enquiry forms can be tiring, to help you save some time, use Xeplanner’s 1-Click Request for Quote tool to write down all your enquiries in our pre-made RFQ templates at one go, and send it to multiple venues by just a click.

#5. Pay Attention to the Venue Lighting

Image by FLOWER FIELD HALL @ GARDENS BY THE BAY

Lighting plays a crucial role, especially for wedding photography. While choosing a venue, visualise if your ceremony is during the day or evening. Do you have natural light, low light or candles? Where will the photographers, cameras be and where will you take outdoor photographs?

#6. Ask the Venue’s Parking Condition

Parking is another critical factor when you choose your wedding venue. Make sure there’s plenty of parking space and include a map in the wedding invites. If the place does not have ample parking space, inform your guests about close by parking lots or make arrangements for a shuttle service to transport guests to the venue.

#7. Prepared a List of Non-Negotiables

It’s important to be prepared with an extensive list of some points that are non-negotiable for you and your partner. Create your own personal list. These could include:

  • Catering – What type of cuisine would you like and does the venue provide this? Do you have to purchase liquor through them?
  • Suppliers – Does the venue permit you to use your own list of vendors, or you need to use their recommended suppliers?
  • Entertainment – Do you have any specific entertainment requirements – live bands, outdoor music, fireworks, dancers, flame eaters, etc. and does the venue allow it? Are any special permits required?
  • Special Logistics – Keep your guest list in mind. Would you need a handicap accessible site, are the number of toilets enough, what is your backup plan for inclement weather

#8. Always Have a Plan B

If you are planning on having an outdoor wedding, you should always have a backup plan. While getting married under sunny blue skies may be the dream, but quite often rain showers are the reality in Singapore especially during the raining season.

The perfect venue for your special day is out there. Just have patience, perseverance and a lot of pre-planning.

Perfect Wedding – Review of Sofitel Singapore Sentosa Resort & Spa (SG Clean Certified), Sentosa Island, Singapore

Let’s start with what’s good about this resort. Its lush landscaping and large pool create a sense of a true getaway from busy Singapore. The SO Spa is wonderful; we were in good hands from the start and left feeling relaxed. The Luxury Room (our room category) was well-appointed, with a fast-filling and spacious tub, and a bouncy bed. If only the pillows were firmer.

But what distinguishes a luxury hotel from the rest is service, and in this regard, Sofitel Sentosa falls well short. Its staff are hardworking, but they are clearly undertrained and let down by poor management and insufficient manpower.

A five-star hotel does not let its guests stand for 25 minutes during check-in. The receptionist did not know basic information about the spa facilities, and when we asked to confirm our massage appointment, we were told that the spa’s booking system was not integrated with the front desk’s. In the end we found that the spa had messed up our appointment though we had booked it more than a month in advance and had confirmed it 3 times afterwards.

A five-star hotel does not allow under-trained staff to serve guests at breakfast. On our first morning, we waited more than 10 minutes for 2 glasses of water. Our glasses of juice never appeared. On our second morning, we ordered at 9.15am and received our food at 9.55am after we had to remind the staff, and were again asked by them to confirm our orders. A lot of this comes down to poor planning. You would think that a hotel restaurant would assign specific staff to take care of certain sections of the floor. Instead, all the staff were constantly running around serving every table, and as a result, the ball got dropped frequently.

On our third morning, we arrived for breakfast at 740am, during the slot where the hotel advises guests that traffic will be light. We were informed that food would nevertheless take longer to arrive because they were short of staff.

For our complimentary dinner at The Cliff (the hotel’s formal dining restaurant), we were seated without being told that the menu was actually to be accessed via a QR code. We only found out after we asked. Then, when you scan the QR code, you are greeted with 3 different menus, and it was only after we asked another waiter that we were told which menu to choose from for our complimentary set.

Our drinks during dinner were served to us at the side of the table, instead of individually. Courses were delivered before the preceding course’s plate had been cleared.

It’s the little things like these that constantly point to a hotel that does not deserve its luxury label. Staff should not be referring to guests as “you guys”. Staff should not have to be reminded by guests to take their drink orders. Staff should not be constantly clueless about basic facts about the hotel.

We will not be coming back.

Ultimate Guide to Find Wedding Catering Services in Singapore

Let’s be honest – there are just too many weddings we’ve been invited to that didn’t leave a lasting impressions. After all, once you’ve been to a few weddings, aren’t they all beginning to look and feel the same?

Of course, there are the few exceptions that stands out above others. It could be be due to the location, the decor, or the people themselves. But we’re betting that if there’s one thing that makes a wedding memorable, it’s definitely the food!

Today, wedding banquet catering providers are expected to deliver a delicate balance of affordability and quality. They’re to remain competitive in price to fit into tight budgets, but excellent in taste to guarantee guests will be blown away!

This makes it tough to source for wedding buffet catering that fits into both your budget and requirements perfectly. If you add in the needing a halal-certified wedding caterer, it’s no wonder most couples take more than 12 months to plan a wedding!

That said, it’s not as doom and gloom as you think. Many wedding banquet catering providers in Singapore have stepped up their game to give you the best of both worlds. So here’s the ultimate guide to choosing the best wedding caterer service in Singapore

Difference Between Normal Caterers & Halal Wedding Catering

On the surface, you’ll see very little differences between normal and halal food catering services.

However, halal wedding catering services (especially from halal-certified providers) have taken into account every dietary requirement for Muslims, as well as using the correct method of preparation that is according to rules, customs and principles for Muslim practitioners.

Trust us, while halal catering providers undergo a different preparation & serving process, it doesn’t mean they’re any less delicious!

Where to Find Good Wedding Catering Services in Singapore?

There are endless ways you can get started with searching for a good wedding caterer in Singapore. From recommendations, local searches to attending wedding fairs, the choices are plenty!

But by far and large, the best way to get started is to shortlist your caterers with stellar online reviews. You can start doing so by reading online reviews on wedding catering providers on forums like Wedding Forum, The Wedding Vow Blissful, Hitcheed or Perfect Weddings. Otherwise, a quick Google search isn’t a bad place to start!

What you’re looking for are genuine, in-depth reviews of past experiences of customers with your shortlisted wedding catering providers. These can be about the food provided itself, the service level or the overall experience of dealing with the caterer. While reviews can be faked or bought these days, it’s definitely worth an extra effort to try and get an insider’s look at a wedding cate

Otherwise, another source of reliable information is by asking any friends or family members who have engaged wedding caterers in the past, especially for the ones you’ve attended and am impressed with. Not to forget, your wedding planner, photographer, videographer or even florist will probably have wedding caterers, halal or not, that they’ll happily recommend.

One final tip – check with your favourite restaurants that you visit often to see if they provide catering services! More often than not, they’ll be more than happy to provide the option of catering for your wedding!

Once you’ve made the final shortlist of good caterers with favourable reviews, it’s time to arrange for appointments! Go for at least 5 caterers, but try and keep it to less than 10. This is the best time to check if they provide halal wedding catering, whether it’s for wedding buffets, church wedding reception catering, wedding lunch or if they’re a halal-certified caterer.

It will be wise to check if they’ve available for your wedding date, try their tasting menu and get a grasps of their pricing and menus.

How to Plan Your Wedding When Selecting Your Wedding Catering Provider

While your wedding caterer is no doubt important, in reality, it’s just one small piece of the gigantic wedding planning puzzle!

If you’re having difficulty in finding the right time and dates for your wedding planning milestones, here are some helpful planning steps to get your dream wedding banquet catering in order.:

    • 12 months (or less) before day of wedding – research, research and research for caterer that hold great reviews from customers. You should make a list of all the questions you’d like answered, as well as confirming if your shortlisted caterers are able to provide for your wedding day & the choice of venue and accommodate your number of guests.

    • 6 months before day of wedding – arrange for an appointment with your shortlisted caterers to have an in-depth discussion! Get details on the logistics behind different locations if needed, the overall costs and additional add-ons if needed, the wedding day run-through, manpower and staff requirements as well as any possible equipment needed from both end. This is the best time to finalise your caterer’s proposal that contains the estimated costs of wedding catering service.

    • 3 months before day of wedding – ideally, by now, you’ll have come to a decision on which caterer you’re going for. If so, it’s time to do a food tasting! What you’ll need to do is to arrange for an appointment with your caterer – but do keep in mind that some caterers do charge a fee for tasting. This is where you must take notes of your likes or dislikes! This is where you should decide on your catering orientation – whether it’s a wedding banquet, halal catering, buffet catering, lunch catering or for your church wedding reception catering, it’s now time to finalise!

    • Final weeks before day of wedding – as a final check-in with your caterer, it is prudent to contact or plan appointments with your caterer to ensure everything is in place and in order for your dream wedding. After all, there’s no harm in keeping everything in tabs!

How Much Should a Wedding Caterer Cost?

Well, it depends on your overall wedding budget! Some couples are keen to dedicate a larger portion to the food, while others expect lower expenditure on catering versus other details!

But remember – your guests’ main takeaway will most probably be the food served at your wedding, so it is important to impress!

That said, there is a simple formula that can generate a close estimate on how much your wedding catering should cost. This includes:

    • Number of guests – naturally, the more guests you invite, the more food you’ll need to prepare and pay for

    • Food options – depending on their flavour, complication or quality of ingredients, different food packages can vary from best-value to exquisitely premium

    • Orientation of your wedding catering  – it’s not just the food served, it’s the way they are served. There are a variety of options for this, including plated meals where guests are served plate-by-plate by service staff, buffet style where guests self-service for their food, or incorporated with food stations guests experience different foods and different stations. Some may cost quite a lot more than another!

    • The place where your wedding takes place – sometimes, wedding venues can place certain restrictions and forbid couples from using caterers that aren’t part of the venue’s business. This might come as an extra cost to get around!

    • The preparation materials for your wedding banquet – think of the small things such as glasses, flatware, serving equipment, tables & chars that are in-sync, linens, decorations and so much more.

While we can’t give an exact number on how much you should be spending on your wedding catering budget, it’s advisable to always plan ahead to keep your budget on track!

Questions You Must Ask Your Wedding Buffet Catering Service

  • What is the total cost of the catering service from start to end?

    • When budgets are at play, not sticking to one is foolhardy at best. A good caterer should be able to meet your budget on a mutually-agreeable manner. Remember, quality doesn’t mean sky-high prices – it can often come down to skillfully making smart choices!

  • Are there any services provided in the banquet or buffet catering?

    • It’s crucial to understand what services you’ll be employing for the hefty price you invested in your wedding banquet caterer. For example, you’ll not want to miss out on the labour of setting up tables for church wedding reception, lunches or banquet buffets! Do take note of any cleaning services provided as well – some venues do charge an extra if your caterer doesn’t clean up properly!

  • Are halal-certified wedding menus any different or cheaper than the normal?

    • While most caterers will be competitive in pricing for their halal menus vs conventional menus, there might be a small difference in pricing after taking account the extra steps of halal preparations!

In terms of food quality, you can be assured that halal-certified menus are no less delicious than their counterparts!

  • Does your shortlisted wedding caterer provide the service to your venue?

    • More often than not, the wedding venue is the foundation of your entire wedding plan. It’s important to then confirm your venue before even selecting your wedding caterer! From there, check with your shortlisted caterer to see if their service is available for your chosen location.

    • Do note that it will be extremely helpful if you can give in-depth details regarding your wedding plans. If your wedding will be held outdoors, for example, or if it’s an afternoon wedding instead of a dinner. More importantly, you’ll need to discuss the what-ifs at unexpected situations, such as the wedding starting earlier or later, or even the case of a severe thunderstorm during the wedding itself!

  • Is your caterer able to adjust their catering service according to your wedding plan?

    • Your wedding theme sets the tone of everything else, and that includes the set up of your food service. As you might have planned for a garden-themed or an minimal-industrial themed wedding, it’ll be best to make sure that your caterer is able to adapt and fit into what you have in mind when it comes to table linens, centerpieces, decoration colours and more. Of course, it would be extra helpful if you can give your caterer a detailed plan for your wedding!

  • Is your caterer able to accommodate special dietary requirements?

    • In today’s multicultural society, it has become almost a norm to have different dietary needs among guests you invite. Some might require a halal meal, vegetarian or vegan-friendly options or even gluten-free food!

    • One great way of handling this is to estimate the head count early on when it comes to the guests with dietary requirements. Do also remember to factor in a few children-friendly food items so that they can be served as well!

  • Can your caterer offer extra services if required to make your wedding extra special?

    • You should reserve this question for last, but it’s no harm to ask if your caterer is able to offer an out-of-the-box service. This can be something like a stand-alone ice-cream bar, a live food truck or even just a few VIP tables for your guests!

  • Can you verify that the catering service provided is halal certified?

    • It goes without saying that making sure your halal wedding catering provider is certified takes priority over all else if your wedding caters to many Muslims. Adhering to halal standards of sourcing ingredients and food preparation is vital, so ask them for their halal certificate or enquire about the halal regulations they put in place!

The Brahman will join the hands of the newlyweds with flower garlands as a sign that henceforth they belong only to each other.

90,000 This was the best start of the year!

This was the best start of the year! Native places, the wind of freedom, tears of the finish line in my eyes ”.

ADIDAS ELBRUS WORLD RACE 2017 passed, but emotions remained!

We continue a series of interesting interviews with the participants of the most massive trail race in Russia.

ELBRUS WORLD RACE is 5 races, with a length of 112 km, with a climb of 5430 meters, up to the smallest race of 11 km, with an climb of 1840 meters.

This is an annual trail event created by true mountain and sports aficionados. Held in the first week of August. The main distance runs around the highest mountain in Europe – Elbrus (5642 m).

ELBRUS WORLD RACE is designed to open the door to real trail running and introduce beginners to the splendor of the Caucasus Mountains.

Natalia, one of the participants of the wonderful race, shared with us her emotions and advice on how to overcome the mountain distance with a smile on her face.

“All girls dream of a perfect wedding. I dreamed of a perfect ascent: the sun, calmness, dancing on the saddle. Everything came true! These first feelings when you stand on top of Europe are simply beyond words!”

SKYRACE.CLUB: Why did you decide to run Elbrus World Race?

Natalie: The Elbrus region is my second home. I got to EWR a year ago. Then a distance of 34 km was chosen. It was the best start of the year! Native places, the wind of freedom, tears of the finish line in my eyes. Very good organization in terms of layout, well, there are not so many people. As soon as the registration of this year opened, no doubt I chose 46 km. And with Vanya Kuzmins there was an agreement to hold an incendiary warm-up. Therefore, the question of whether to go or not did not arise.

SKYRACE.CLUB: What were the goals and objectives for the race?

Natalie: There were no problems, because I train flat halves (21 km).I also want to close the second category. The goal for this race was simply not to kill myself and finish with dignity. I wanted to experience what the body feels at a distance above the marathon.

SKYRACE.CLUB: You went to the top of Elbrus (5642 m). Did it interfere with the race?

Natalie: All girls dream of the perfect wedding. I dreamed of a perfect ascent: sun, calm, dancing on the saddle. Everything came true! These first feelings, when you stand at the top of Europe, are simply beyond words! This is the happiest moment! But the mountain took its toll – both strength and emotions. There were only 2 days to recover. And this is very little. It was decided to change the distance to 11 km. Moreover, “verticals” are my favorite disciplines. I love to puff up the hill.

SKYRACE.CLUB: How was the race itself – your expectations and reality?

Natalie: The first 6 km are ideal. All according to plan. But then something went wrong (smiles). There was not enough power, the force of the push, where it was necessary to climb.Strength melted away with every kilometer. The water from the spring streams and the mountain air helped a lot. As a result – 11th among women. I consider this a worthy result after the ascent.

SKYRACE.CLUB: Are you planning to come to the Elbrus World Race again?

Natalie: Of course! I will help Ivan in conducting acclimatization classes for the participants. And I will improve myself in the 11 km race. I want to enter at least the top five!

SKYRACE.CLUB: What advice would you give to those who have never run a trail in the Elbrus region?

Natalie: Oh, a lot of advice! I saw a lot of guys who came for the first time and who were covered by the “miner”. In fact, 11 km is a very difficult distance, it has a drop of 1900 m. This is a difficult discipline without proper training.

The first is competent acclimatization. The golden rule is no more than 1000 m of recruitment per day. Arriving on Friday evening and completing the distance with dignity the next day will not work, even if you are a runner from God.I saw how strong athletes were breaking at the height. All are equal before the mountains.

The second is equipment. It is necessary to approach the choice very deliberately. A must for dry mountain trails. I really enjoyed Salomon! This is not an advertisement, I am not paid ( laughs ). The Wings SG keep the track perfectly, especially on wet rocks. This is very important for me after the race of the year when the shoes failed. And the Salomon S-lab running vest is lightweight but very roomy.

Third, be sure to include slides in your workouts.I love to run in the ski resort of Stepanovo, near Moscow! And the most important thing is to love the mountains with all your soul and treat them with respect, then they will reciprocate!

On its own wave – Unique Singapore

Do you think it’s expensive and difficult to organize? Previously, it was so, but recently everything has changed. A yacht service similar in concept to Airbnb has appeared in Singapore!

Sailing on a yacht is one of the newest and most loved entertainment for Singaporeans. You can organize almost anything on the boat, from a romantic meeting of the sunset against the backdrop of the futuristic skyscrapers of the city and a fun birthday party to a memorable corporate party and a cruise to the beaches of neighboring islands.

However, until recently, renting a suitable yacht was a big problem. A huge number of boats, each of which belongs to a different owner or agency, so it took a lot of time and effort to choose the right option.

A few years ago, the Yachtly service appeared, invented by Singaporean friends – graduates of major London business schools and fans of yachting.“At first we were brought together by the passion for wakeboarding,” says one of the founders of the company, Jackie Yong. “But 10 years ago, renting a boat for training was a separate headache. The boat rental infrastructure was completely undeveloped. We thought about how to make water sports and pleasure yachting more accessible and convenient for residents and visitors of Singapore. This is how the Yachtly project was born. ”

The Yachtly service connects the client and the direct owner of the yacht directly. All that remains is to select the necessary filters: indicate the purpose of yacht charter (wedding, corporate party, outing with friends and others), enter the date and number of people. And please – the site will give you the options and cost.

“We have made yachting in Singapore as affordable as ever, while still being very high quality. So, the minimum cost of renting a yacht through Yachtly is $ 400, which is cheaper than a night in the legendary Marina Bay Sands hotel. And how many impressions you cannot compare! “, – say the owners of the service, -” It is important to note that on our platform only captains who have experience of commercial pleasure voyages are registered, and their yachts are equipped with everything necessary for the convenience and safety of guests. “

In addition, Yachtly provides catering – the service has agreements with such well-known companies as Neo Group and EZBBQ, and if desired, you can order both ready-made meals and everything for a barbecue on board. The yacht can be equipped with additional entertainment, for example, a whole inflatable water park, a karaoke system, which will make it possible to arrange a real holiday for all guests on board. One of Yachtly’s most popular daytime routes is a cruise to the bay of Lazarus Island. It is the perfect beach destination close to Singapore. Here you can swim, fry meat on board the yacht, ride a jet ski or go kayaking. This route is often chosen for corporate events and birthdays.
